The Interview Process
Job interviews have a dual purpose: to achieve the company’s objectives and to achieve the applicant’s objectives. The main objective of the company is to find and hire the best person for the job. The main objective of the applicant is to find and get the job which is best suited for his/her goals and capabilities.
In general an interviewer should look for a person who will fit in with the company and who has the education, experience and personal characteristics needed to do the job.
Physical appearance is usually the first standard you should judge the applicant on. A neat look is important in any company. Other aspects of appearance that make a good impression are straight posture, direct eye contact, a firm but gentle handshake, a pleasant smile and a friendly tone of voice.
Age may be a factor too.
Applicant’s interests and hobbies indicate how well a person will fit in with the company.
So are such qualities as courtesy and sincerity, willingness to learn. During the interview both the candidate and the employer should try to make a good impression. It’s helpful if both parties have a list of
specific questions.
When you are planning the interview bear in mind that the purpose of the questions is threefold:
– to get information;
– to motivate the interviewee to respond honestly;
– to create a good working relationship with the other person. When it is time for the interview be sure that the location is pleasant,
comfortableandfreeofdistractions.Thefirstfewminutesshouldbeused to develop a relaxed atmosphere. For example, you may offer a person a cup of coffee or a soft drink or chat about neutral matters: the traffic, the weather. Smile and be pleasant and try to make the other person feel at home.

you have heard a lot about information processing, electronic offices and changes in telephone system.
It is not an easy task to describe briefly a wide range of office machines that exist now. These machines are mostly used for production, reproduction and storage of information (message).
Production equipment includes portable and desk-top dictation machines, calculators, keyboard devices such as typewriters, word processors, small business computers. The old good typewriter was not long ago the basic office tool and in the hands of a trained typist or secretary could produce a letter or a report that looked quite professional.
Most business information is copied in some way as it is often important to have in the file for future reference. For many years carbon paper was considered the only means to make copies. The most common type of reproduction equipment now is xerox. Computerized equipment, the jack of all trades 1 of the modern office, can also be used to reproduce documents.
It is hard to imagine how the world economy could be developed without telephone, fax, telex that speed up communication.
Information and data often need to be saved for later reference. The most common and least complicated type of storage equipment is a file cabinet. Some information may also be stored on magnetic discs, tapes or in the computer.
In modern business the problem is not how to get enough information but how to sort out the most important and up-to-date one2. If managers got information from all sources they would be unable to interpret it quickly enough to take appropriate actions 3. Most businesses try to avoid this problem by employing computer-based information systems. Computers make it easier to collect, summarize and analyze data. The computer’s speciality is data processing, i.e. performing specific operations on data: adding, subtracting, multiplying and dividing numbers, comparing and remembering them. Physical component of a computers is called hardware.
There are three major types of computers: mainframe computers, minicomputers and microcomputers. Mainframe or large-scale computers store large quantities of data. Computers of intermediate size and cost are called minicomputers. The smallest and least expensive computers

are microcomputers also known as personal computers (PCs). They are widely used in small business.
Aset of instructions that tell computer hardware what to do is a computer programme. Collectively computer programmes are known as software. Many companies have staff of programmers who write software for their needs. Computer programmes may also be bought ready-made.
Some more modern techniques are laptops, the Internet, Extranet, e-mail or computerized message distribution.
So what remains for you is to put the equipment together and make it work for your business.
