10. Travel Arrangements

Travelling is an essential part of any business. Even with new communications technology business people have to ravel mush as it’s particularly important to establish good face-to-face relations with partners, suppliers and customers. The top priority for business travelers is good organization of their business trips. Generally, that is the responsibility of a Secretary or a Personal Assistant.

Travel arrangements involve booking tickets for a plane or a train, transport to and from the airport, booking accommodation, making appointments and arranging meetings. If the boss is going on holiday the secretary should book a resort hotel. If the boss is going on business the secretary should book a business hotel. On a business trip the boss will need a fax-machine, a personal safe, free Internet connection and a full range of multimedia equipment for meetings and presentations at the hotel.

The first thing which the secretary should do is to learn about the destination and the exact dates of the trip. The dates and times of all the journey, appointments, meetings and events should be listed carefully in the itinerary. She should be aware of the number of people who are going to travel and the budget allowed for the trip so that she could book tickets and hotel accommodation properly.

Most businessmen prefer air travel as it saves time. Calling a travel agency and booking a package tour which combines air tickets and accommodation is a common practice when making travel arrangements. The secretary should take care of the visas, passports and medical insurance in advance if travel arrangements ar e made without the involvement of a travel agency. The secretary organizes transfer from the airport to the hotel by using the services of the hotel or the travel agent or the car rental company. The secretary should contact the secretary of the receiving side and to cross reference all the arrangements for a business trip. The cultural programme is organized by the secretary of the receiving side.

One more thing which is of great importance is the ability of the secretary to support her boss whenever needed when unexpected things happen. For example, when the flight is delayed or cancelled, she should be ready to make changes in the itinerary, reschedule the appointments and meetings, inform the hotel about the problem.

11. Hotels and their services

Business hotels are usually located in the center of large cities not far from offices of large companies, banks, exhibition and trade centers. Business hotels usually have luxurious rooms, which are ideal for the business traveler. Each room has TV channels in English such as CNN and the BBC. All rooms have voice mail, a fax machine, a personal safe, widescreen television and push-button blinds. Each room is equipped for personal computer use and Internet access is free.

Every business hotel has a conference hall with a full range of multimedia equipment for meetings and presentations. Technical and secretaries services are also available.

Besides the conference facilities, business hotels usually have medical and sports centers, sauna, beauty salon with a hairdresser’s, coffee stalls and newspaper stalls. There are two or more restaurants and cafes in business hotels which offer different cuisine.

The majority of business hotels belong to well-known brands, that is they are chain hotels. All the hotels of one chain offer a standard set of services, which is more than most independent hotel operator can offer, as running business in the same manner in all the hotels of the chain helps to save money. Chain hotels can afford to hire more staff and offer wider range of services, for example loyalty-card schemes, worldwide database of guests. The staff of such kind of hotels can delivery faxes to their customers’ room at all hours of the night and serve foie gras at four o’clock in the morning.

Therefore we see that chain hotels can offer cost-efficient services while independent hotel operators can offer accommodation in unique surrounding such as medieval castle or palace and so on and so forth.
